Overview

With our Organiseme for Gmail add-on users can convert a mail in Gmail directly into a task in his / her Organiseme account. Mails often contain action items or must be followed-up. With our Gmail add-on user's can turn such emails with two clicks into a task so that they can manage this task as part of all their tasks - and so they never forget to follow-up an email.

In addition, users can directly create any task they want to enter to their Organiseme's account while working in Gmail. There is a second option in out Gmail add-on where users can enter all information like they can do in Organiseme. So keep on working in Gmail when you need to capture a new task.

In the following the handling of the Organiseme for Gmail add-on is explained. For installing the add-on please refer to the dedicated installation manual.

Once installed, the Organiseme for Gmail add-on is accessible on the right side within Gmail, represented by the Organiseme logo icon.

Turn mail into task

When you open the Organiseme for Gmail Add-on from a mail there are two buttons displayed.
1) Create Task : where you can create any task.
2) Create Task From Mail : where you can turn the current mail into a task in Organiseme, explained in the following.

When clicking on the "Create Task From Mail" button a new page is opened where you can enter or select the different mandatory and optional elements of a task to create the task from the mail:

  • Task description - here the subject of the mail has been fetched
  • Task priority - the default priority is low
  • Task list (your tasks lists from Organiseme have been synchronized)
  • Due date
  • Assign responsibility (your contacts from Organiseme have been synchronized)

The task description is already pre-populated with the mail's subject. Still the task description can be edited.

Next you might change the priority from the default "Low" value by selecting the priority from the pop-up menu.

Then you need to select one of your Organiseme task list's the task should be assigned to.

Optionally you can set a due date for the task from the mini calendar that appears when you click in the due date field.

Finally you can assign the task directly to one of your Organiseme's contacts by selecting the contacts name in the pop-up menu.

Once you have entered or selected all the data for the task you just need to push the Create Task From Mail button. Then a new page will be loaded confirming that the task was successfully created in Organiseme. Now you can either go back to the start page, or you can open the Organiseme application in a new window.

When opening your Organiseme account the new task specified in the add-on will be displayed in the task list selected by you in the Gmail Add-on. There will also be a note icon displayed as part of the task.

Once you click on the note icon, the note section underneath will be opened, displaying the content / body of the mail that has been turned into a task. On top of the note field the following information is also displayed:

  • Sender of the mail
  • Receiving date of the mail
  • Link to the mail in Gmail. When clicking on this link the original mail that was the foundation of this task will be opened in a new browser window.

Now you can manage the task that was created from your mail as part of all your tasks.

Create any task for Organiseme

When you open the Organiseme for Gmail Add-on from your Gmail inbox - so not when you are in a mail - there is just one button "Create Task" displayed.

When clicking on the "Create Task" button the following page is opened where you can create a task with all the data the mandatory and optional data:

  • Task description
  • Task priority
  • Task list (your tasks lists from Organiseme have been synchronized)
  • Due date

Except for the task description, that needs to be entered manually here, entering or selecting the other data is identical as for turning a mail into a task, and which is described in the section above.

Once all data is entered / selected and the "Create Task" button pressed, the task will be created in Organiseme in the specified task lists. So you are able to create a task while working in Gmail - and without leaving Gmail

Settings

When clicking on the three dots in the header of our Gmail Add-on a menu will be opened which contains two entries: Settings and Login/Logout.

When selecting the Settings entry a new page will be loaded where the email address of the currently logged in user is displayed. There is no further information or action available in the settings right now.

When selecting the "Login/Logout" option from the menu the current user of the Gmail Add-on will be logged out, and a new page will be displayed.

This page contains a Sign In button from were you can login with one of your Google accounts. Please ensure that this Google account has been used to register with Organiseme as well.
