Introduction
You can assign a task to another person - either to one of your Organiseme contacts, a team member in Organiseme or to any person. Just click on the profile photo or name in the responsibility column of the task. ![]() Then a dialog box will be displayed in front. This dialog box contains two options:
![]() Option 1: Assign task to Organiseme contact or team member
In the upper part of the dialog box all your contacts or team members are listed and you can select to whom you want to assign the task by checking the check box in front of the persons name. In case the task belongs to a shared task list & board only the contacts or team members are displayed with whom the task list & board is shared. ![]()
Once you have pressed the 'Assign' button the dialog box closes and the task responsible will already be changed to the new responsible. ![]() Assigned to others view / filter
In addition the task is now also displayed in the 'Assigned to others' view or filter in the main menu. When the task is part of a shared task list & board then the task is displayed in the 'Accepted Tasks' tab since it will be directly assigned to the contact or team member (automatic accepted). When the task is part of a non-shared task list & board then the task is displayed in the 'Not yet accepted' tab first, and the contact or team member needs to decide whether he / she accepts or rejects the task. He might also send you a message in case the person has further questions. ![]() Task for the new responsible
The contact or team member, to whom you have just assigned the task, will be notified in Organiseme and - depending on his settings - also receive a mail. When the task is part of a shared task list & board then the task is already displayed in the shared task list and board. In addition the task is displayed in the 'Assigned to me' view in the main menu, and there in the'Accepted' tab. When the task is part of a non-shared task list & board then the task is displayed in the 'Not yet accepted' tab, and the contact or team member contacts needs to decide whether he / she accepts or rejects the task. He might also send you a message in case the person has further questions. Once he / she accepts the person will be asked to which task list & board the task should be assigned to. Option 2: Assign task to non-Organiseme contact
To assign a task to a person that is not an Organiseme user yet start again by clicking on the profile photo / name in the responsible column. ![]() Once the dialog box opens in front you need to enter the email address of the person you want to assign the task in the text box in option 2. Optionally you can also enter a message to the person in the text field on the bottom. This is also possible when assigning a task to a contact or team member. ![]() When pressing the 'Assign' button the dialog box closes and the email address just entered will be partially displayed in the task list. When moving the mouse above the full email address will be displayed so that you can recognize the full address later again. ![]() Since there was a message entered during the assignment of the task the 'Message' icon is displayed. When clicking on the icon the message will be displayed underneath the task. ![]() For you the task will also be displayed in the 'Assigned to other' view / filter that can be accessed via the main menu. Since the task has been assigned to a non-Organiseme user the task is displayed in the 'Not yet accepted' tab. ![]() Task for the non-Organiseme person
The person will receive a mail from Organiseme telling the person that this task has been assigned to him by you. Also the message entered during the assignment of the task is part of the mail. ![]() Now the person can accomplish the tasks and provide you a feedback outside of Organiseme. Best would be the person registers with Organiseme with the same email you used when you assigned the task to the person. Then this person would automatically become your confirmed contact, and you could collaborate right away. |
